Manage item permissions

Every item in LabID has object permissions that you can view and also can be modified (if you have edit permission) on the detail page.

Share items

The permission can be both managed at the user and at the group level. As you can see in the figure below, an item is being shared to the Computation Support Genome Biology group and the permission is View only, i.e. any user belonging to the group can view this item. And, additionally, the user girardot has permission to do all the actions, i.e. View, Edit, and Delete.

Now, you want to add another user to this list and give the View and Edit permission. You can go to the edit mode of the item (from the detail page) and under the Users section you can search for the specific user by their EMBL username and then allow permission by checking the checkboxes for designated permission roles. Finally, hit Add and Save the item. The same procedure works for the groups if you want to share this item with another group or modify the permission role for an existing group.

One more additional thing that you can do here is to make an item public. At the top of the sharing/permission widget (in the edit mode) you can see the checkbox for marking an item as Public and thus all the users inside LabID can view this item. Now, after saving the item we'll have the affected permission changes:

Also, you might be wondering why the view column check-marks are being greyed out now after the changes! Because we marked this item as Public and thus the View is a kind of active permission for all the users in LabID. So, for this item, it doesn't really matter if you modify View permission for users/groups.

Share items in batch

We have seen how to share one single item by modifying the permission from the item detail view. Now, if we want to modify permission for a batch of items at a single time, we have to use the batch sharing widget from the list view of the items.

In the list view, we have got a few Batch action buttons which are by default disabled, but when you select multiple items from the list view by checking the checkboxes these actions are enabled, and you can see there the Batch Share button

The widget pops up and shows two options in the beginning

  • Fine Tune Access Rights
  • Set Public or Unset Public

The second option is pretty straight-forward, if you want to set/unset the public status of the selected items you just select the option and then hit Apply Access Rights.

The first option which needs a more explanation, let's click on Fine Tune Access Rights, now either you can Grant access or Remove access (and you should choose and operation). Let's say we want to Grant access; you can multi-select users and groups from the searchable-dropdown and check the permissions you want to allow from the left column. Suppose we want to share these selected items with user girardot and monfort with only View permission and user scholtal with all the permissions. Additionally, we want to share this item with the Dey Group with View and Edit permission. You cannot do all of these in one go; we've three different actions here,

and apply access rights; you'll see the message inside the green banner about the detail changes being done on the selected items -

Now, you can follow the same procedure for doing the rest of the operation. And finally hit Done to exit from the widget.
